ENROLMENT & PARTICIPATION POLICIES - AGREEMENT
As the Parent/Guardian of an enrolled camper, I understand my child’s camp fees must be received in full by May 1st 2024, prior to my child attending camp. If fees have not been paid by due date, a late fee of $10.00 will apply, and could lead to the camper’s spot being filled. Personal cheques will not be accepted after May 20th, 2024. NSF cheques are subject to a $25 administrative charge.
LATE PICK-UP POLICY
Campers not participating in the extended day care program may be dropped off at camp no earlier than 8:00am and picked up promptly by 5:00pm. If your child is signed up for extended day care, it must be understood that they must be picked up by 6:00pm, since no supervision can be provided after 6:00pm. The Late Pick-up Policy applies to both the 5:00pm and 6:00pm pick-up times:
1. First time, less than 15 minutes late - no charge
2. 5 - 15 minutes late - $15.00
3. 16- 30 minutes late - $25.00
4. Over 30 minutes late - $50.00
All late fees are reimbursed to the staff at the time of pick up. As the Parent/Guardian of an enrolled camper, it must be understood that you must call the camp immediately if you are going to be late to pick up your child to ensure adequate staff remain available for after camp care. Late fees will apply to the 5:00pm and 6:00pm pick-up times(if a camper is enrolled in extended day).
CANCELLATION/REFUND POLICY
The cancellation policy will be as follows:
Cancellations (for any reason) must be received in writing.
Cancellations until May 1, 2025 will be subject to a $25 administrative fee and no refund of camper deposits at anytime.
Cancellations received from May 1 - May 31, 2024, will be subject to a 50% cancellation fee.
Cancellations received after June 1, 2024, will not receive a refund.
Changes to another week are always permitted based on availability.
PLEASE NOTE: Cancellation fees only apply once payment has been received. Refunds do not include any deposit fee paid. Days missed from camp cannot be rescheduled or reimbursed. Refunds for camp closure, beyond the control of Sunshine Day Camp, will be handled on a case-by-case basis and subject to an administrative fee. Notification of a camp closure will be emailed, and posted on signs at the camp facility, and announced on the camp telephone message.
If payment was received by credit card there is a processing fee that will be deducted at the time of refund. Refund times associated with credit payments are dependant on your financial institution.
ILLNESS POLICY
If your child becomes ill at camp, it must be understood that you will immediately be notified and must arrange pick up for your child. Fees for camp days lost will not be reimbursed.
HEAD LICE POLICY
It must be understood that your child will be checked on the first morning of a camp session for head lice. You must understand that you will be notified of any indication of head lice. Your child will need to be picked up from camp and must receive treatment before returning to camp. Fees for camp days lost will not be reimbursed.
BEHAVIOUR MANAGEMENT
Sunshine Day Camp strives to provide a fun and safe summer day camp experience for children. Appropriate behaviour expectations are clearly outlined to staff, volunteers, campers, and parents. The following are rules that all campers, staff, and parents are expected to follow daily at camp:
To show respect for themselves, fellow campers, and leaders
To respect individual differences
To show respect for personal and camp property
Stay within the activity area.
To be responsible for their own actions and the consequences of their behaviour
Behaviour at camp that does not contribute to the well-being of other campers, staff and volunteers will be dealt with in a fair and respectful manner. The Camp Director reserves the right to remove any child permanently from the program should it be necessary to do so. It must be understood that you will be notified of all inappropriate behaviour of your child and may be requested to pick up your child immediately. Camp fees for days lost will not be reimbursed.
While every reasonable effort is made to safeguard camper’s belongings, It must be understood that Sunshine Day Camp cannot be held responsible for the loss or damage of any of my child’s belongings while at camp including but not limited to eyeglasses, retainers, hearing aids, ear plugs, etc.
As the Parent/Guardian of an enrolled camper, you must agree to pay for any and all damages caused by your child to Sunshine Day Camp’s property, Royal Distributing Athletic Performance Centres property, and/or the property of others.
FIELD TRIPS AWAY FROM MAIN CAMP SITE
Consent for your child to be taken off the program premises by the staff on a bus or on foot, as a scheduled part of the program. Parents will be notified in advance if such excursions are to take place and will sign permission forms for each trip that takes place. The camp will venture around the property and surrounding properties of the performance centre and a permission form will be provided as well.
EMERGENCY MEDICAL TREATMENT
In the event of an accident or illness involving your child while attending camp, Parents must understand that Sunshine Day Camp will make every attempt to notify parents/guardians and/or my emergency contact person. Consent for Sunshine Day Camp to act on behalf of your child in the event of an emergency, and further, to be transported, assessed, and treated in a hospital if necessary.
Parents must agree and understand that they must notify Sunshine Day Camp of any changes in the medical or health condition of your child between the time of completion of this form and participation at camp.
SUN-SENSE
Parents must understand reasonable precautions will be taken to protect all participants at Sunshine Day Camp from the effects of the sun. As the Parent/Guardian of an enrolled camper, you must accept the risks associated with sunburn/sunstroke in an outdoor environment and will send sunscreen with your child for application at camp and you accept the risks associated with its use.
PEANUTS & NUTS
I understand Sunshine Day Camp is ‘nut aware’ and agree not to send any nut products with my child to camp.
AUTHORIZATION FOR PUBLICITY
I give my consent for my child to be photographed at camp for purposes of promotion, marketing, and public relations. Photos may appear in local newspapers, slide presentations, print publications, and on the Sunshine Day Camp website, publicity displays, and television.
PERSONAL INFORMATION PROTECTION
Sunshine Day Camp protects your personal information and adheres to all legislative requirements of the Canadian Personal Information Protection and Electronics Documents Act (PIPEDA).
